Oaks vs 11 apprenticeship platforms

The whole market. One honest comparison.

We’ve put Oaks beside 11 other apprenticeship platforms, using each vendor’s own website and help centre. Some of them do things Oaks doesn’t, and we show that too, with our straight answer to each.

  • Secure evidence viewing See every file. No downloads needed.
  • Workbooks completed online Your workbooks, filled in on the page.
  • Pinpoint feedback Feedback pinned to the exact spot.

Why providers choose Oaks

Built for the work, not the paperwork.

Every one of these is live in Oaks today. Ask us to show you any of them on your own standards.

Secure evidence viewing

See every file. No downloads needed.

PDFs, Word documents, images, video and audio open right inside Oaks. Word files are turned into a PDF preview, so tutors and IQAs can read and mark them in place instead of saving learner work to a laptop.

  • PDF, Word, image, video and audio
  • Word converted to a PDF preview
  • Learner work stays inside Oaks

Workbooks completed online

Your workbooks, filled in on the page.

Upload the fillable PDF or Word workbooks you already use. Oaks lays typed answers, tick boxes and drop-downs straight onto each page. Learners save as they go and mark it complete, and a finished PDF lands on their record.

  • No rebuilding your content
  • Save progress and pick up later
  • Locks on completion, coach can reopen

Pinpoint feedback

Feedback pinned to the exact spot.

Highlight a sentence or draw around an area on a PDF page, mark part of a photo, or pin a comment to the moment in a video or audio clip. Learners press “View in document” and land right on it.

  • PDF text and page areas
  • Image regions
  • Video and audio timestamps

AI assessment integrity

Know the work is theirs.

AI-content detection, plagiarism checks and text comparison run on each piece of evidence, right where tutors mark it. Results are saved against the assessment for your IQA and EPAO conversations.

  • AI-content and plagiarism checks
  • Results saved on the assessment
  • No separate Turnitin licence to buy

Consistency rule engine

Your standard, enforced as rules.

Write the rules your quality team checks by hand, at task, KSB, programme and gateway level. Oaks applies them from the assessment screen, so learners don’t reach gateway with gaps nobody spotted.

  • Task, KSB, programme and gateway rules
  • Gateway blocker checks
  • Every result recorded

IQA sampling matrix

Planned against actual, for every assessor.

Set how much each assessor should be sampled at interim, gateway and summative stage, and by which method. The matrix shows what has actually been sampled, rated red, amber or green against how far through the period you are. Observations of assessor practice count towards it, and anything marked for development feeds straight into a standardisation session.

  • Assessor × stage × method matrix
  • Observations and standardisation linked to findings
  • Legacy imported decisions can be sampled too

Ofsted workspace

Ready for the deep dive.

One workspace pulls together tripartite review gaps, a cohort KSB heatmap and welfare and Prevent coverage. Download a learner journey PDF for any apprentice in seconds, and give inspectors their own time-limited, read-only login that only shows the learners you choose.

  • Learner journey PDF for every deep dive
  • Read-only inspector logins that expire on their own
  • Cohort KSB heatmap and review gaps

Ofsted AI

Rehearse the inspection out loud.

An AI Ofsted inspection your leaders can talk to. Alana, our AI inspector, asks the questions in the September 2026 FE and skills toolkit. Put evidence on the table, get coaching on each answer and finish with a practice report card. It is a paid add-on charged by the hour, and it is practice, not an Ofsted judgement.

  • Spoken questions for every evaluation area
  • Coaching on each answer
  • Practice report card at the end

OBTLA AI

An observer at the back of every online lesson.

Invite Alana into a Microsoft Teams, Zoom, Google Meet or Webex lesson. She stays muted, listens, and drafts an observation of teaching and learning in your Quality register. Your observer checks it, grades it and sends it to the tutor, so the judgement stays with your people. Charged by the hour observed.

  • Teams, Zoom, Google Meet and Webex
  • Your observer grades it and sends it to the tutor
  • Audio deleted once the notes are written

Skills England sync

Standards straight from the source.

Enter a standard reference and Oaks fetches the published version from Skills England: level, route, KSBs, occupation options and the minimum off-the-job hours. Enrolments check the off-the-job figure is still current and suggest the practical period and planned end dates.

  • KSBs and options mapped for you
  • Minimum off-the-job hours kept current
  • Enrolment dates suggested

Learner RAG

Spot risk before the review.

Off-the-job variance, KSB progress, review currency and more roll up into one cohort RAG, with scheduled Oaks Snapshot emails landing in leadership inboxes.

  • Six threshold metrics
  • Off-the-job against approved hours
  • Programme phase overrides

Live progress reviews

Three people, one review, live.

Learner, employer and tutor edit the same progress review at the same time and sign it off together. No more emailing a form round three inboxes.

  • Real-time co-editing
  • Three-way e-signatures
  • Custom templates and reminders

Your own instance

Your Oaks. Nobody else’s data.

Every provider gets a dedicated, single-tenant instance: its own application and its own database. Two-factor sign-in, role-based permissions and an activity log come as standard.

  • Dedicated single-tenant instance
  • Two-factor authentication
  • Activity log on every change

Nexus developer support

The people who build it pick up.

Raise an issue from inside Oaks and it goes straight to the developers, with live support when something is urgent. Pay only for the add-ons you switch on, one module at a time.

  • Tickets go straight to the developers
  • Live support when it matters
  • Modules switched on individually

The basics most of us cover

  • Evidence portfolios mapped to KSBs and criteria
  • Off-the-job hours tracking
  • Progress reviews with e-signatures
  • IQA sampling
  • Employer access
  • Digital enrolment

These are the basics any serious apprenticeship platform should cover, so we’ve left them out of the table.

Straight answers

Where others lead, and our answer.

You’ll hear this in any demo, so here it is up front. If one of these is a deal-breaker for you, we’d rather you knew now.

ILR and funding claims

Bud and Aptem generate the ILR from enrolment data and keep it updated for ESFA submission. Rubitek generates the ILR as an XML file at the touch of a button, ready for a funding claim. Maytas validates the ILR in real time as data is entered, sends batch exports to the ESFA, and its funding and compliance team builds DfE rule changes in before they take effect.

Oaks now builds the ILR export from enrolment data, fills in missing fields in one click, translates codes to ESFA values and rolls collection years over for you. Closing a return lists every change, validation error and open funding rule, each with an owner and a due date, until the return is signed off. Funding claims and audit evidence packs are still on our roadmap, so you may want to keep your MIS for the funding side for now.

One suite with PICS and bksb

OneAdvanced sells Smart Assessor in one apprenticeship suite with PICS, its learner management system for the ILR, and bksb for initial assessment and functional skills, under a single sign-on.

Oaks builds the ILR export from your enrolment data and has its own adaptive initial assessment, so evidence, assessment and the return come from the same records. Funding claims are still on our roadmap, so if PICS runs your funding today you may want to keep it for that side for now.

AI that drafts and assists

Aptem Enhance includes an AI marking aid, KSB checkpoint questions, review summaries from Teams transcripts and a virtual assistant for learners. The OneAdvanced suite includes AI agents that generate KSB-mapped activities, summarise review transcripts, rewrite assessor feedback and answer questions about a caseload. Journey AI answers questions across your records with a link to the source, drafts progress reviews from Teams or Google Meet transcripts, drafts off-the-job entries and recovery plans, and lets learners practise end-point assessment out loud. TIQPlus prepares progress review summaries, suggests evidence mappings for learners, generates courses from an uploaded standard and gives tutors an AI copilot.

Oaks puts its AI into integrity checks, Ofsted AI practice inspections and OBTLA AI lesson observation. It doesn’t mark learner work, draft reviews or answer learners for you today, so if that’s what you’re buying for, these platforms are ahead.

A lower entry price

Quals Direct charges £300 to set up, including the first 10 learners, then £30 per learner licence for the length of the programme, with free staff accounts. Journey Core is free for approved UK providers with up to 50 apprentices. Its Advanced edition, which adds Journey AI, is quoted.

Oaks is priced by seats and by the modules you switch on, on your own dedicated instance with the developers on support. For a small cohort these may well cost less. Use our seat estimator for a clear quote, then compare the full three-year cost, including set-up, migration and support.

E-learning content and SCORM

Aptem plays SCORM content, Bud includes a VLE and Onefile has its Learning Hub. Ecordia includes e-learning qualification content and online tests that count towards off-the-job training. Rubitek includes a library of apprenticeship programmes, with delivery materials for tutors and learning resources for learners. TIQPlus is a full LMS that generates courses with AI on a visual canvas and exports them as SCORM packages.

Oaks delivers through tasks, online workbooks, quizzes and an activity bank mapped to KSBs, and your existing PDF and Word workbooks can be completed online without rebuilding them. It has no SCORM player or ready-made course library today, so if that’s the heart of your delivery, tell us in the demo.

Offline mobile app

Onefile offers an offline app. EcordiApp uploads evidence and shows progress without an internet connection, and portfolios can be exported as read-only offline copies. PebblePocket captures photos, video, files and reflections offline and sends them to PebblePad when the learner is back online.

Oaks works in the browser on any phone, tablet or laptop with nothing to install. It needs a connection, and there’s no offline app today.

Open API, SSO and Power BI

Aptem lists a public API, Power BI dashboards and SSO; Onefile lists an open API, SSO and Power BI exports. Maytas has a full read and write OData API, a Power BI connector, Power Automate and approved integrations with SITS and EBS. PebblePad connects to Blackboard, Brightspace, Canvas and Moodle through LTI 1.3, with single sign-on, enrolment sync and grade sync.

Oaks has built-in reports, including deprivation by learner postcode and missing enrolment files, plus Oaks Snapshot. Email and password sign-in asks for an authenticator app, with a passkey or an email code as backup. Enterprise integration help is part of Oaks Enterprise, and we’ll be straight about what your systems need.

Employer sign-off without a login

Journey employers sign progress reviews and confirm off-the-job hours from a single-use emailed link, with no account or password. PebblePocket takes a digital signature in person from someone with no PebblePad account.

Employers use their own Oaks portal to sign reviews and verify off-the-job hours, so each employer contact needs a login.

A yearly check by a person

Once a year Journey’s team reviews your live data against the Ofsted framework and the apprenticeship funding rules, and a named expert signs it off.

Oaks gives you the tools to check all year: the Ofsted workspace, Ofsted AI practice inspections, and a return close that lists every validation error and open funding rule with an owner. A person-led yearly review isn’t part of an Oaks licence today.

Built-in video meetings

Ecordia hosts recorded video meetings in the browser for professional discussions, witness testimony and assessment planning.

Oaks works alongside the meeting tools you already use. OBTLA AI joins your Teams, Zoom, Google Meet or Webex lessons and drafts the observation of teaching and learning for your observer to grade.

NVQs and awarding organisations

Quals Direct is built for NVQs and other qualifications as well as apprenticeships, with access for awarding organisations.

Oaks is built around apprenticeship standards, KSBs and Ofsted. If most of your work is qualifications for awarding organisations, tell us in the demo and we’ll show you how that would look.

Already across the university

PebblePad is the institutional e-portfolio at universities such as Northumbria and Sheffield Hallam, where degree apprentices keep their workbooks, off-the-job logs and review records alongside the VLE.

Oaks is built for apprenticeship delivery rather than as a portfolio for every course, and it speaks your language, from students to semesters. If PebblePad already serves the rest of your university, bring that to the demo and we’ll be straight about how the two would sit side by side.

Scale and track record

Onefile has served the sector since 2005 and Aptem reports over 130,000 learners. OneAdvanced says its ePortfolio is trusted by thousands of providers and millions of learners. Ecordia has been developed for 14 years with training providers and FE colleges. Rubitek’s team has worked with training providers for over 20 years. Maytas is used by training providers, FE colleges, universities and employer providers, and Maytas 6 is its current SaaS generation.

Oaks is newer and smaller, and that’s the point: you talk to the developers, and changes reach you quickly.

Choosing between us

The short version.

Oaks or Onefile?

Onefile’s strength: A long-established e-portfolio used across the sector.

Choose Oaks if you want your existing workbooks completed online without rebuilding them, feedback pinned inside PDFs and videos, AI integrity checks without buying Turnitin separately, and standards, KSBs and off-the-job minimums synced from Skills England. Add OBTLA AI to observe Teams, Zoom, Google Meet or Webex lessons, and Ofsted AI for spoken practice inspections, by the hour when you need them.

Oaks or Bud?

Bud’s strength: Funding and compliance, with the ILR generated from enrolment.

Choose Oaks if your biggest risk is delivery quality: gateway surprises, inconsistent KSB sign-off and learners falling behind before anyone notices. Add an IQA matrix that shows planned against actual sampling, an Ofsted workspace with its own inspector logins, and AI observation of teaching and learning in any Teams, Zoom, Google Meet or Webex lesson. Oaks builds the ILR export from your enrolment data too, so the return and the evidence behind it come from the same records.

Oaks or Aptem?

Aptem’s strength: A broad, configurable enterprise platform with packages and integrations.

Choose Oaks if you want a focused delivery platform on your own dedicated instance, priced by the modules you use, with an Ofsted workspace ready for inspectors, Ofsted AI to rehearse the inspection, OBTLA AI to draft observations of teaching and learning from Teams, Zoom, Google Meet or Webex lessons, and the developers on the other end of every ticket.

Oaks or Smart Assessor?

Smart Assessor’s strength: One OneAdvanced suite with PICS for the ILR and bksb for English and maths.

Choose Oaks if you want delivery quality in one focused platform: your existing workbooks completed online, feedback pinned inside PDFs and videos, AI integrity checks built in, an IQA matrix linked to standardisation, and an Ofsted workspace with its own inspector logins. Oaks builds the ILR export from your enrolment data and has its own adaptive initial assessment, all on your own dedicated instance with the developers on support.

Oaks or Ecordia?

Ecordia’s strength: A long-standing, easy-to-use e-portfolio with video meetings and an EPA showcase.

Choose Oaks if you want standards, KSBs and off-the-job minimums synced from Skills England, gateway rules checked from the assessment screen, and AI-content and plagiarism checks without a separate subscription. Add a cohort risk RAG, an IQA matrix linked to standardisation, an Ofsted workspace with inspector logins, and OBTLA AI to draft observations from the Teams, Zoom, Google Meet or Webex lessons you already run.

Oaks or Rubitek?

Rubitek’s strength: E-portfolio, MIS and ILR in one platform, with programme content included.

Choose Oaks if delivery quality is where you need the most help: evidence opened and annotated in place, your own workbooks completed online, KSB and gateway rules, an IQA matrix that shows planned against actual sampling, and an Ofsted workspace with inspector logins. Oaks builds the ILR export from your enrolment data too, and adds Ofsted AI and OBTLA AI by the hour when you need them.

Oaks or Quals Direct?

Quals Direct’s strength: A simple, low-cost e-portfolio priced per learner.

Choose Oaks when you’ve outgrown a simple portfolio: Skills England sync, KSB and gateway rules, feedback pinned inside PDFs and videos, AI integrity checks, live three-way progress reviews, an IQA matrix linked to standardisation, an Ofsted workspace and the ILR export, on your own dedicated instance with the developers on support.

Oaks or Journey?

Journey’s strength: A newer AI-first platform with a free Core edition for small providers.

Choose Oaks if you want evidence opened and annotated in place, your existing workbooks completed online, AI-content and plagiarism checks, KSB and gateway rules, an IQA matrix linked to standardisation and an Ofsted workspace with inspector logins, all on your own dedicated instance. Add Ofsted AI and OBTLA AI by the hour when you need them.

Oaks or TIQPlus?

TIQPlus’s strength: A broad AI platform spanning LMS, training management, e-portfolio and its own courses.

Choose Oaks if you want a platform focused on apprenticeship delivery and quality: evidence opened and annotated in place, AI-content and plagiarism checks, standards and off-the-job minimums synced from Skills England, live three-way progress reviews, an IQA matrix linked to standardisation and an Ofsted workspace with inspector logins, on your own dedicated instance.

Oaks or PebblePad?

PebblePad’s strength: A trusted university e-portfolio, used for degree apprenticeship workbooks.

Choose Oaks when you need the apprenticeship compliance around the portfolio: off-the-job minimums from Skills England, KSB and gateway rules, live three-way progress reviews, learner RAG, an IQA matrix and an Ofsted workspace with inspector logins, with the ILR export built from your enrolment data.

Oaks or Maytas?

Maytas’s strength: A long-standing learner management system with real-time ILR validation and deep integrations.

Choose Oaks if delivery quality is where you need the most help: evidence opened and annotated in place, your existing workbooks completed online, AI-content and plagiarism checks, KSB and gateway rules, an IQA matrix that shows planned against actual sampling and an Ofsted workspace with inspector logins. Oaks builds the ILR export from your enrolment data too, and adds Ofsted AI and OBTLA AI by the hour.

FAQ

Questions providers ask

Can we switch from Onefile, Bud, Aptem or another platform to Oaks?

Yes. Bring your standards, cohort size and timings to the demo and we will agree a plan for the move with you. Your existing workbooks can be completed online in Oaks without rebuilding them.

Is this comparison fair?

Competitor entries come from each vendor’s own public website and help centre, checked October 2026, and every source is listed on this page. Where we could not find a capability we say so rather than guess, we show where others are ahead of Oaks today, and we will correct anything that has changed.

Who is Oaks for?

Independent training providers, further education colleges, universities and employer providers delivering apprenticeships in England. Oaks adapts its language to your organisation, from apprentices to students and terms to semesters.

How much does Oaks cost?

Oaks is licensed per dedicated instance: seats for learners, staff and management, plus the modules you choose. AI add-ons such as OBTLA AI and Ofsted AI are billed by the hour you use. Use the seat estimator to size your licence, and we will give you a clear quote in your demo.
